# Export results as CSV

> Download the results of a search or a saved filter as a CSV file for a spreadsheet, with your columns and sort order, and see what happens with large results.

Every search and every saved filter can be downloaded as a **CSV file**. The file holds the results you see, with the columns and the sort order you chose, and opens in Excel, Numbers or any other spreadsheet.

You get only what you may see yourself. A work item, page or registry object you have no access to is not in your file, even if the filter was shared with you by someone who sees more.

<h2 id="export">
  Export the results
</h2>

<Steps>
  <Step title="Run the search or open the filter">
    Open **Search** or a saved filter under **My Filters**. Choose the tab of the kind of object you want, for example **Work items**.
  </Step>

  <Step title="Choose columns and sort order">
    Pick the columns with the column menu and click a column header to sort. The file follows what is on screen.
  </Step>

  <Step title="Click Export CSV">
    Click the download icon (**Export CSV**) above the results. A result of up to 1,000 rows downloads at once.
  </Step>
</Steps>

The export covers **all** results of the query, not only the page on screen. The **All** tab cannot be exported, because it mixes several kinds of objects. Open one kind first.

<h2 id="content">
  What the file contains
</h2>

* **Headers** in your language, as in the table.
* **Readable values**: people by name, choices by their label, yes and no as words, never an internal ID.
* **Dates** in the format `2026-10-16T08:00:00.000Z` (ISO 8601), which spreadsheets sort and calculate with.
* **Several values in one cell**, such as labels, are separated by a semicolon and a space.

The file is UTF-8 with a byte order mark, so Excel shows umlauts and accents correctly.

| Your language | Cells are separated by |
| - | - |
| English | comma |
| German, French, Italian | semicolon |

A text cell that starts with `=`, `+`, `-` or `@` gets an apostrophe in front. Otherwise a spreadsheet could read the text as a formula and run it. Numbers are never changed.

<h2 id="large">
  Large results
</h2>

A result of more than 1,000 rows is not downloaded at once. Collabase prepares it in the background and shows **Your export is being prepared**. You can keep working. When the file is ready, you get a notification with a link that downloads it.

* The file stays available for **24 hours**, then it is deleted.
* Only **you** can download your export. Another person who opens the link sees **not found**.
* A file holds at most **100,000 rows**. If your result is larger, the file ends after 100,000 rows with a note in the last line, and the notification says so too. Narrow the query to get the rest.
* If an export fails, you get no notification. Run the export again.

<Note>
  Large exports need the background queue (Redis) of your installation. Without it, only results of up to 1,000 rows can be exported, and a larger result shows a message asking you to narrow the search.
</Note>
