# Outcomes and decisions

> Record what a meeting settled, turn tasks into work items, link work items and pages, and find every decision again in the register.

A meeting produces two kinds of results. **Outcomes** belong to an agenda item: an information that was shared, or a task someone takes on. **Decisions** are recorded separately, with rationale and the people who made them, and stay findable in the decision register long after the meeting.

Outcomes and decisions are recorded while the meeting is **Running**. Organizers and co-organizers can always record them; invited participants can when **Participants may edit the agenda** is turned on for the meeting.

## Outcomes

| **Responsible** | A participant of the meeting. Tasks only. |
| **Due** | A due date. Tasks only. |

Add an outcome in the **Outcomes** block of an agenda item with **Add outcome**. In the live view, the block sits right below the current topic.

### Create a work item from a task

    Choose the **Space** and **Project**. You can only pick projects in which you may create work items.

    They are taken from the outcome. If the responsible person cannot open the chosen project, the dialog says so; pick someone else or nobody.

    Click **Create work item**. The work item is created and linked to the outcome. Members who cannot open the project see **Not accessible** instead of the link.

## Link work items and pages

An agenda item can point to the work items and pages it is about, up to 20 per item.

| **Link a work item** | **Add link → Link work item**, choose the space and search by title or key. |
| **Link a page** | **Add link → Link page**, choose the space and search by title. |
| **Create a page for the item** | **Add link → New page from item** creates a page in the meeting's space and links it. |
| **Remove a link** | **Remove link** on the linked entry. |

The search only offers work items and pages you can open. A linked work item shows its status, assignee and due date.

Each reader sees only the links they are allowed to open. A link to something they cannot open shows **not accessible**, without its title. A deleted target shows **deleted**.

When the meeting ends, Collabase records how each linked work item and page stood at that moment. If the target has changed since, the closed meeting shows **Changed since the meeting** and, next to it, how it stood in the meeting.

### Where the meeting shows up

* A work item has a **Meetings** panel in its side bar. It lists the meetings it was discussed in and the agenda items it was linked to.
* A page shows **Discussed in** with the meetings it was linked to.

Both list only meetings the reader is allowed to see.

## Decisions

Record a decision in the **Decisions of this meeting** panel with **Record decision**.

| **Details (optional)** | Anything needed to understand the decision. |
| **Rationale (optional)** | Why it was decided this way. |
| **Agenda item (optional)** | The item it belongs to, or **Without agenda item**. In the live view, the current topic is preselected. |
| **Decided by** | The participants who made the decision. |

When the meeting ends, the dialog lists every decision once more, so the group confirms them together before the meeting closes.

### Change, replace or revoke a decision

A decision has one of three statuses: **Valid**, **Replaced** or **Revoked**. Only a valid decision can be changed.

| **Edit** | Corrects the wording of a valid decision. |
| **Replace** | Records a new decision in its place. The old one is marked **Replaced** and shows **Replaced by a later decision**. |
| **Revoke** | Marks the decision **Revoked**. It stays in the register. |

A closed meeting is read-only. To change one of its decisions, reopen the meeting first, as described in [Running a meeting](/docs/meetings/moderation#reopen-a-closed-meeting). Every change to a decision after the fact is recorded in the audit log.

## The decision register

Open **Decision register** in the Meetings sidebar. It lists the decisions of every meeting you can see, newest first.

| Filter | What it narrows |

| **Search decisions** | Text in the decision's title. |
| **Status** | **Valid**, **Replaced** or **Revoked**. |
| **Space**, **Project** | Decisions of meetings in that space or project. |
| **Series** | Decisions of one series. |
| **Person** | Decisions that list the person under **Decided by**. |
| **From**, **Until** | The decision date, in your time zone. |

Click **Apply filters** to update the list. The register follows the same rule as the meetings themselves: decisions of a private meeting appear only for the people invited to it.
