Your Jira projects run in Collabase: the same work items, in workflows and work item types that match how your teams work. Collabase has no automatic importer for Jira. You rebuild the project setup in Collabase, then bring the open work items across, by hand or with the REST API. Follow the phases in order. Every phase ends with a checkpoint and a link to the next one.

At a glance

Two paths bring the work items across. Choose in phase 1:
  • By hand: you create the open work items in Collabase. Right for a few dozen items.
  • With the REST API: a script reads your Jira export and creates the work items, comments and attachments. Right for anything larger. The Collabase API is in closed beta, see API reference.

Requirements

In Collabase

  • A system administrator account.
  • Enough free seats for the people you bring in, if your licence sets a seat count. See Licence and editions.
  • For the API path: access to the API beta, and a personal API token with the scopes tasks:write, comments:write and attachments:write. See Creating a token.

In Jira

  • Read access to every project you move.
  • A way to export the issues of a project with their fields, comments and attachments. Which export your Jira offers depends on your version and plan. Check Atlassian’s documentation.

Overview

Phase 1: Plan

Phase 1 of 5, about 45 minutes. Next: Phase 2, Bring people in.

Map Jira to Collabase

What the API takes for a work item

Decide

  • Move open work only. Closed issues are history. Keep the Jira export of them as an archive instead of loading them.
  • Merge before you copy. Jira installations collect near-identical issue types, statuses and fields. Map them to as few Collabase types and fields as your teams need.
  • Choose the path. By hand for a few dozen open items, the API for more.
Checkpoint. You have a written mapping for every project you move: the target Space and project, the work item types, the workflow statuses, the fields, and the path. If a Jira field has no use in the mapping, leave it out.
Next: Phase 2, Bring people in.

Phase 2: Bring people in

Phase 2 of 5, about 15 minutes. Previous: Phase 1. Next: Phase 3, Rebuild the setup.
1

Create the accounts

Create an account for everyone who is an assignee in the moved projects, on the Users page, or let your directory create them. See Users and groups and User provisioning.
2

Create the groups

Create the groups your Spaces will be shared with, or take them from your directory.
Checkpoint. Every assignee in your Jira export has a Collabase account. If an account cannot be created because no seat is free, see How seats are counted.
Next: Phase 3, Rebuild the setup.

Phase 3: Rebuild the setup

Phase 3 of 5, about one hour per project. Previous: Phase 2. Next: Phase 4, Load the work items.
1

Create the workflows

In Settings → Content & Organization → Workflows, create a workflow with the statuses from your mapping. See Workflows.
2

Create the work item types

In Settings → Content & Organization → Work Item Types, create the types from your mapping.
3

Create the fields

In Settings → Content & Organization → Custom Fields, create the fields, and group them under Field Collections. See Setting up a project.
4

Create the Space and the project

Create the Space, give the groups from phase 2 their roles, and create the project in it. See Spaces.
Checkpoint. You can create a work item of each type in the new project by hand, and move it through every status of its workflow. If a status or type is missing, add it before you load any data. Delete the test work item afterwards, unless you use it for the IDs in phase 4.
Next: Phase 4, Load the work items.

Phase 4: Load the work items

Phase 4 of 5. Previous: Phase 3. Next: Phase 5, Check and switch over.
Create each open work item in the project with its type, title, description and assignee, then move it to its status on the board. See Tasks.
Checkpoint. The number of work items in each Collabase project matches the number of open issues in your Jira export, and each status column holds the expected count. If items are missing, check your script’s log for refused requests, see Troubleshooting.
Next: Phase 5, Check and switch over.

Phase 5: Check and switch over

Phase 5 of 5, about 30 minutes. Previous: Phase 4. Next: Keep it running.
1

Set the remaining fields

Set custom field values, parent work items and sprints that the API does not take.
2

Let the teams check

Ask one person per team to compare a sample of work items with Jira.
3

Freeze Jira

Make the moved Jira projects read-only, so nobody keeps working in the old copy.
4

Announce

Tell your teams the address of their new project and the day Jira became read-only.
Checkpoint. Your teams work in Collabase and the Jira projects no longer change.
