System settings apply to the whole installation and every Space in it. This page shows how to reach them, which screen does what, and where each one is documented. It also covers the three settings that are too small for a page of their own: attachments on work items, the search index and translation with DeepL. Who can do this? Settings that belong to one Space, such as its members and modules, are in the Space itself, see Space settings.

Open the system settings

1

Open the menu

Click your profile picture at the top right, or the Settings button at the bottom of the left sidebar.
2

Choose System Settings

Click System Settings. The entry appears only for accounts with the Admin instance role. Collabase opens Brand Identity and shows every other screen in the sidebar.
3

Find a setting

Type into Search settings… at the top of the sidebar to filter the screens by name.
An administrator who signs in with a password must set up a second sign-in step before Collabase opens these screens. See Second step for administrators.

Every screen and where it is documented

The table follows the order of the sidebar. A group shows only the screens your installation offers.

Attachments on work items

One switch decides whether members can attach files to work items anywhere in the installation. It sits at the top of Administration → Search Index, as the card Attachments on work items. The switch saves as soon as you click it. Turn it off when work items must not hold files, for example because documents belong in a managed file store. Where files are stored, and how much space they take, is described in File storage.

Search index

Search finds text inside pages through a search index that Collabase keeps in the database. Administration → Search Index shows its state and rebuilds it.

Rebuild the index

Rebuild the index after you restore a backup or import content, and when search does not find words that are on a page.
1

Start the rebuild

Go to Administration → Search Index and click Start full reindex. Reindex started confirms it.
2

Follow the progress

The card shows Indexing… with the number of pages done and the total. The Index Log names each page as it is indexed. Collabase stays usable while it runs, and you can leave the page.
3

Check the result

When it is done, the log ends with Index maintenance complete. and Last Sync shows the current time.
Search for a word that appears only in the body of a page, not in its title. The page appears in the results.
Only one rebuild runs at a time; the button is greyed out while one is running. The state and the log live in the memory of the running application. If Collabase restarts during a rebuild, the rebuild stops: start it again. The rebuild covers the full-text search. The index that the AI uses to answer questions is separate. It has its own Rebuild button in the AI settings, see AI configuration.

Troubleshooting the search index

Translation with DeepL

With a DeepL key, members can read a page in another language. Collabase sends the text of the page to DeepL, stores the translation and translates again only after the page has changed. Code blocks and mentions stay as they are.
Translation sends the content of a page to DeepL, a service outside your installation. Check that this is allowed for the content in your Spaces, and tell your members, before you add a key.
1

Get a key from DeepL

Create a DeepL API subscription, Free or Pro, and copy its authentication key.
2

Open the translation settings

Go to Administration → Translation. The card DeepL API Configuration opens.
3

Enter the key

Paste the key into API Key and choose the Plan Type that matches your subscription: DeepL API Free or DeepL API Pro.
4

Save

Click Save. Translation settings saved confirms it. The key is stored encrypted and shown masked from then on.
Open a page and choose another language in its language menu. The page shows the translated text, and Original switches back.
The card Supported Languages lists the languages offered for translation. To stop translation, delete the key in API Key and click Save.

Branding and login screen

Name, logos, accent color and the sign-in screen.

Outgoing mail and mail templates

Mail server, sender and the mails Collabase sends.

Audit log

Who changed what in the installation, and when.

Data retention

What Collabase deletes on its own, and when.
