Every list of work items has the same row of chips above it. A chip switches a condition on or off, and the list shows only the work items that pass all switched-on chips. The row is the same on the Board, Work Items, Timeline and the portfolio Gantt, so you learn it once.

The chips

A field chip opens a list of values to tick. For a person, Me stands for yourself. Several values in one chip match any of them. Several chips match only the work items that pass all of them. Type in the text field to narrow by words in the title, the description and comments. The Work Items table keeps its own search above the table instead. Reset switches every chip off. Open as filter opens the Search page with the same selection written as a query, so you can refine it there.

Share a selection

The address of the page holds your chips. Copy the link and send it: the person who opens it sees the same chips and the work items they may see. Your selection also stays when you switch between the views of a project. A chip that no longer fits is crossed out and explains why: Such a chip does not narrow the list. Click it to remove it.

Define quick filters for a project

A project lead gives the team their own chips. Who can do this: members who may edit the project settings. For a portfolio, its owner, an owner above it, and administrators.
1

Open the quick filters

In the project, open Settings and choose Quick filters under Workflow. For a portfolio, open the Gantt view of the portfolio and click Quick filters.
2

Name the filter and write its query

Enter a Name and the Query. The editor suggests the fields and values you may use. The query narrows the project’s work items, so it needs no project clause.
3

Add it

Click Add quick filter. The chip appears for everyone who opens the views.
Drag a filter by its handle to change the order of the chips. A project or portfolio holds at most 10 quick filters. Projects you create from a project template start with the quick filters the template carries.
A quick filter cannot contain a sort order. The view keeps its own order.

Choose your columns

Columns in a list opens the field picker. Search all fields of the project, add the ones you want, and move them up or down. Reset to default brings back the usual columns. Your choice is saved to your account, so it follows you to every browser and device and does not change the list for others. The timeline and the portfolio Gantt show fields other than the usual ones as read-only text. A value that links to something you may not see shows No access, never the data behind it.

Large lists

A quick filter answers with at most 5,000 work items. If more match, the list shows the first ones and says so: narrow the filter to see the rest. A chart or list shows the extra columns for the first 1,000 rows.
