A subscription sends you the current results of a saved filter by email, so you do not have to open the filter to see what changed. Each email shows the first 50 results and links to the filter.

Subscribe

1

Open the filter

Open the filter from My Filters and click the bell, Subscribe by email.
2

Choose when

Pick Daily or Weekly, the weekday for a weekly one, and the time. The time zone is the one your browser uses.
3

Subscribe

Click Subscribe. The list above the form shows the subscription, when it goes out and how the last run went.
Everyone who can open a filter can subscribe to it for themselves. You can have one subscription per filter. To change the time, end the subscription with End subscription and subscribe again.
Guests cannot subscribe to filters.

What you receive

You get the results you may see, not the results of the person who set the subscription up. The email is in your language and shows a count, up to 50 rows with the filter’s columns, and the button Open filter.
  • No results, no email. An email only goes out when there is something to show.
  • No access, no email. If the filter is no longer shared with you, or you left the group it was shared through, you get nothing from the next run on.
  • Time changes. A subscription at 02:30 on the day the clocks go forward runs at the first valid time after the gap. When the clocks go back, it runs once.
Collabase checks for due subscriptions every 15 minutes, so an email can arrive up to 15 minutes after the time you chose.

Subscribe a group

People who own a filter or may edit it, and who belong to a group themselves, can subscribe the group. Click For a group, choose the group and click Subscribe. Every current member of the group gets an email with their own results. Members who join later are included. Every member can leave a group’s subscription with the link at the end of the email. Leaving ends it for that member only; the others keep getting it. Administrators can see group subscriptions in the audit log: who subscribed which group, and when it ended.

Stop an email

Every email has Stop this email at its end. The link opens a page; click Stop emails to confirm. Opening the link alone changes nothing. If you subscribed yourself, the subscription ends. If a group did, you leave it and the others keep theirs.

When the filter stops working

When a filter cannot run any more, for example because a field it uses was deleted, nobody gets its email. Whoever set the subscription up gets one email saying so, with a link to correct the filter. If that person is gone, the owner of the filter is told, or the administrators when the filter has no owner. The subscription shows the filter no longer runs until the filter works again. Once corrected, the next run sends as usual.
