Process descriptions exist in five versions on three drives. A new colleague finds three contradicting instructions for the same procedure. The auditor asks when the procedure handbook was last reviewed, and the answer is a shrug. Docs makes visible which knowledge is current, who owns it and when it was last checked.

The search understands the meaning of a question, not just the keyword. "How do I request remote work?" finds the policy even when it is called "mobile working". Semantic search needs an AI provider that you connect yourself. Without one, keyword search remains and no content leaves your environment.

How does Docs keep handbooks from going stale?
Every page has an owner and a date on which it is reviewed again. When that date passes, the page loses its verified marker and the owner is reminded. Readers can see on the page itself whether the content has been checked.
Can we bring existing content over from Confluence?
Yes. The importer takes pages, attachments and the page hierarchy from a Confluence export, and also from Notion and Markdown. The page tree is preserved, so the content does not have to be restructured.
Does our content leave the environment for semantic search?
Only if you switch the AI on. It is disabled by default and enabled per space. You bring your own provider and your own key: OpenAI, Anthropic, Gemini, or Infomaniak when processing has to stay in Switzerland.
Which formats can pages be exported to?
PDF, DOCX and Markdown, either a single page or a whole page tree. The editor offers more than 50 block types, including tables, formulas and diagrams from Draw.io and Mermaid.
