An automation workspace holds the flows of one team. It has its own members, connections, runs, audit trail, analytics, AI provider and Git connection. A service account named after the workspace carries out what its flows do, so every change a flow makes in Collabase is recorded as made by that account.

Roles

Each member or group has one role in a workspace. A person gets the highest role of their own and of their groups. System administrators are administrators of every workspace.
1

Create the workspace

In Automation, select New workspace and give it a name and an emoji.
2

Add members

Open the Members tab, add people or groups and choose a role for each.

Sensitive workspaces

Switch on Sensitive under Settings when a flow in the workspace can do harm if it is wrong. Publishing a flow or switching it on then needs a second person.
1

Ask for approval

The editor selects Ask for approval instead of Publish. The other admins of the workspace get a notification.
2

Decide

An admin opens the request and approves or rejects it. The decision must come from an admin who did not ask and did not make the last change to the draft.
3

Result

An approval publishes the flow or switches it on. A rejection changes nothing. The editor is told either way.
If anyone changes the draft after the request, the request is withdrawn, so nobody approves something they did not see. The editor can also withdraw a request.

Run retention

Finished runs and their logs are kept for 1 to 365 days, 30 by default. Set it under Settings. Runs that are still going are never removed.

Audit trail

Admins see the Audit tab: who created, changed, published or deleted what in the workspace, and who decided an approval, changed a connection or connected Git. An entry never contains a secret or the content of a flow.

Analytics

Admins see the Analytics tab, and system administrators see all workspaces under Administration, Automation analytics. The page shows active flows, successful and failed runs per day, average duration, the most used plugs, who builds, agent steps and AI tokens. The figures are up to an hour old. The same figures are available as the Automation analytics dashboard gadget.

AI provider

By default flows use the AI model of your instance. Admins can set a provider for the workspace instead under Settings, with an optional monthly token budget. See AI and agents.
